Insurance claims: billing the deductible and the insurance company
Bill the homeowner their deductible and send the insurance company its own invoice and pay link.
Turn on Insurance Claims & Third-Party Billing for your line in Settings → Line Features. It's on by default for Mold & Crawl Space. Then open Insurance Claims under Finance.
- 1Press New claim. Pick the customer and (if there is one) their project.
- 2Add the insurance company, claim number, adjuster and their email, the deductible, and your estimate. Add the approved amount when the insurance company approves it.
- 3Press Bill claim. One invoice goes to the homeowner for the deductible. A second invoice goes to the insurance company, emailed to the adjuster with a secure pay link.
- 4When a check arrives, press Record payment on that invoice and enter the check number. When the insurance company has paid everything, the claim is marked Paid.
Good to know
- Linking a project to a claim stops the full balance from being billed to the homeowner when the job is finished.
- Insurance company invoices are never charged to the homeowner's saved card, never get late fees, and reminders go to the adjuster — not the homeowner.
- Approved more later? Press Bill claim again to send a supplement invoice for the difference.
- Billing equipment to the insurance company (like drying gear by the day)? You choose how it counts in Settings → Line Features → Insurance Claims → Equipment is part of the claim estimate. On: equipment counts toward the claim, so Bill claim suggests less for the rest. Off: equipment is billed on top of the estimate. Need something different for one claim? Edit that claim and flip Drying equipment is part of the approved amount. It only changes that claim.
- If the job goes over the policy's limit, the claim card tells you how much the homeowner owes beyond the deductible.
- Press Pay link to copy the insurance company's secure payment page and send it however you like.
